Information we use
When you request a quote or purchase, we use your contact details, business name, project requirements, selected package and care plan, billing details, payment references and payment status. Stripe hosts card entry and processes payment details. Our portal does not store full card numbers or security codes. Hosting and payment providers also process technical information needed to operate and secure their services, including IP addresses and request information.
Why we use it
We use information to respond to your request, agree and deliver the project, collect and account for payments, provide care, prevent fraud, resolve concerns and meet legal obligations. Our lawful bases are taking steps at your request before a contract and performing that contract; complying with legal duties such as accounting; and legitimate interests in providing secure services and managing business communications. We do not use a project enquiry as permission to send unrelated marketing. Any optional marketing would need a separate appropriate basis and an easy opt-out.
Providers and sharing
We use Stripe for payment processing, and the OpenAI Sites hosting platform and its infrastructure providers, including Cloudflare, to run this portal and its order database. Relevant staff and professional advisers can access information needed for their work. We may share information where legally required. If you choose WhatsApp, your quotation and any brief you choose to send are transmitted to WhatsApp/Meta and to our business account; their own privacy terms also apply. You can use email instead.
Some service providers process data outside the UK. Where required, appropriate legal transfer safeguards must apply. Contact us for details about the arrangements relevant to your project.
Browser storage
The quotation tool uses browser storage to remember your selection or brief and a checkout request reference. A necessary, secure checkout cookie binds the payment-return check to your browser and expires after one day. These functions support the service you request. The optional brief is not sent to the portal backend by the quote tool; it is shared with WhatsApp only when you choose to send it. Stripe uses its own checkout technology and explains its practices in its privacy notice. This portal does not currently include advertising trackers or optional analytics.
Retention and security
We keep project, payment and accounting information only as needed to provide the service, meet legal recordkeeping duties and deal with claims. We review other enquiries and remove information no longer needed. The exact retention period depends on the record and applicable obligations; ask us for details. We restrict access to business systems and use secure hosting and encrypted connections, while recognising that no system can guarantee absolute security.
Your rights and concerns
Depending on the circumstances, you can ask to access, correct or erase your personal information, restrict its use, receive portable data, or object to processing based on legitimate interests. If we rely on consent, you can withdraw it without affecting earlier lawful processing. Some rights have limits, for example where records must be retained by law. Contact us using the details above. You may also complain to the Information Commissioner's Office. We do not use the portal to make solely automated decisions producing legal or similarly significant effects.
